Job Description:
Summary:The Payroll Executive plays a critical role in ensuring accurate and timely processing of payroll for employees, adherence to legal and regulatory requirements, and effective communication with internal stakeholders. This position requires a high level of attention to detail, a strong understanding of payroll practices, and the ability to maintain confidentiality while handling sensitive employee information.
Key Responsibilities:
Payroll Processing:Collect, verify, and process employee time and attendance data for accurate payroll calculations.
Calculate salaries, wages, overtime, bonuses, and deductions based on provided data.
Ensure compliance with company policies, employment contracts, and legal regulations during payroll processing.
Execute the payroll cycle, including data entry, reconciliation, and disbursement of funds.
Tax and Compliance:Stay informed about local, state, and federal payroll tax regulations and ensure accurate withholding and reporting.
Prepare and file payroll tax returns and reports as required by law.
Assist in responding to audits and inquiries from tax authorities.
Employee Record Management:Maintain accurate and up-to-date employee records, including personal information, salary changes, and benefits enrollment.
Process changes such as new hires, terminations, promotions, and transfers in the payroll system.
Communication:Communicate with HR, Finance, and department managers to ensure accurate employee data and resolve discrepancies.
Address employee inquiries related to payroll, deductions, and tax matters.
Collaborate with internal teams to ensure smooth payroll processes.
Reporting and Analytics:Generate payroll reports and provide analysis to management, highlighting key payroll metrics and trends.
Assist in preparing financial reports and variance analysis related to payroll expenses.
System Maintenance:Manage and update payroll software and systems to ensure accurate and efficient processing.
Troubleshoot system issues and liaise with IT support when necessary.
Problem Solving:Investigate and resolve payroll discrepancies and issues in a timely manner.
Address and resolve any discrepancies between time and attendance records and payroll calculations.
Training and Compliance:Educate employees on payroll-related policies, procedures, and self-service options.
Support the development and implementation of payroll-related training programs.
Qualifications:
- Bachelor's degree in Accounting, Finance, Human Resources, or a related field.
- Previous experience in payroll processing, accounting, or a related role.
- Solid understanding of payroll regulations, tax laws, and compliance requirements.
- Proficiency in payroll software, HRIS (Human Resources Information System), and MS Office applications.
- Strong analytical and problem-solving skills.
- Excellent attention to detail and accuracy.
- Outstanding communication and interpersonal skills.
- Ability to handle confidential information with professionalism and discretion.
- Strong organizational and time management abilities.
